Information we collect
We may collect information you provide when you email, call, text or book a meeting with Voxa AI. This can include your name, business contact details, company information, meeting preferences and information you choose to share about your maintenance intake workflow. Please do not submit tenant personal information, emergency details or other sensitive information through the website or Calendly booking form.
Website and analytics information
Our website and service providers may automatically collect limited technical information such as your IP address, browser type, device type, pages viewed, referring page and approximate visit time. We use this information to operate, secure and improve the website and understand general website activity.
Cookies and advertising measurement
We use essential browser storage to remember your privacy choice. If you accept marketing tracking, we may use the Meta Pixel to measure visits, booking-button interactions and completed meeting bookings that result from our advertising. Meta may receive limited technical and advertising information such as pages viewed, event times, browser and device information, IP address, referring page and cookie or advertising identifiers. We use this information to measure campaign performance and improve our advertising.
Marketing tracking remains off unless you select Accept marketing. You can reject non-essential tracking or change your choice at any time through the Cookie settings link in the website footer. We do not intentionally send tenant names, tenant contact information, property addresses, maintenance-request descriptions, Calendly form contents or other sensitive request details to Meta.
How we use information
We use information to respond to inquiries, schedule and provide demonstrations, prepare proposals, communicate about requested services, configure and support client systems, maintain security, prevent misuse and improve our website and services. We do not use information for a new purpose without obtaining consent when required.
Consent and your choices
When you contact Voxa or schedule a meeting, you consent to the collection and use of the information you provide for those purposes. You may withdraw consent, subject to legal or contractual restrictions, by contacting us. Withdrawing consent may prevent us from responding to or completing a requested service.
Service providers and processing locations
We may use service providers for website hosting, analytics, advertising measurement, scheduling, phone, text, email, communications and AI processing. These providers may process information in Canada, the United States or other countries where they operate. Information processed outside Canada may be subject to the laws of that jurisdiction. Meta applies its own privacy terms when advertising measurement is enabled, and Calendly applies its own privacy terms when you use its booking tool.
Tenant request system data
When Voxa provides a tenant request system to a client, the client remains responsible for determining what tenant information is collected, why it is required and how long it is retained. The applicable service agreement, approved workflow and client instructions govern that service data.
Sharing and sale
We do not sell personal information. We may share information with service providers that help us operate the website or deliver requested services, when required by law, or when reasonably necessary to protect rights, security or safety.
Retention and safeguards
We keep personal information only as long as reasonably necessary for the purposes described in this policy, contractual obligations and legal requirements. We use reasonable administrative, technical and organizational safeguards appropriate to the information, but no online system can guarantee absolute security.
